ChampHQ for Fundraisers – Champ HQ ChampHQ for Fundraisers – Champ HQ

Your gala sells tickets for one night. ChampHQ keeps those guests the other eleven months.

Tickets, tables, raffles, silent and live auction, check-in and payments for banquet night. And one record per supporter, so next year’s guest list is not a spreadsheet.

The morning after

The night went great. Then the spreadsheets.

  • The ticket site, the auction app and the raffle sheet, and none of them agree on who paid.
  • The sponsor who bought a table in 2024 and never got a call in 2025.
  • Last year’s guest list, a CSV on a volunteer’s laptop.

A fundraiser runs on four things: who is coming, who gave, who still owes, and who to call next year. ChampHQ keeps all four on one record, so the night and the eleven months after it run from the same list.

Banquet night

Doors open to lights out, on one system.

Guests arrive and you check them in.

By name, by table or by scanning their ticket. Walk-ups buy at the door. Everyone gets a paddle number, so there is nothing to chase later.

They bid, buy raffle tickets and win.

Silent auction from their phones, live auction from the stage, raffle draws on the night. Every bid and ticket lands on the guest’s paddle.

One checkout at the end.

Dinner, raffle and auction wins on one receipt. Card, check or ACH, recorded against the same event, so the treasurer closes the books on Monday.

What is inside

Everything a banquet needs, and nothing a software company thinks it needs.

Tickets and tables

Sell the room, not just the seats.

Dinner tickets, sponsor tables, early-bird pricing and member pricing from one page. Choose who can buy and who can attend.

  • Tables with named seats and a host
  • Sponsor packages with the perks spelled out
  • Sell online for weeks, then at the door on the night
Raffles and auctions

Silent, live, and the raffle, without three apps.

Set starting bids, increments and a buy-now price. Guests bid from their phones. The auctioneer works from the same list on a tablet.

  • Silent auction with outbid alerts
  • Live auction items recorded to the paddle as the gavel falls
  • Raffle tickets sold online and at the door
Payments

Cards, checks and ACH in one ledger.

Take cards online and at the door. Record the check a sponsor hands you. Let a business pay its table by ACH. It all lands against the same event, so the total is the total.

  • One receipt per guest for dinner, raffle and auction
  • Who still owes, on one screen, the next morning
  • Exports for the treasurer and the accountant
The other eleven months

One record per supporter.

Every guest, sponsor, member and donor is one person in ChampHQ, with every ticket, bid, gift and renewal on their record. Next year’s invitation list is already there. So is the list of sponsors to call in January.

  • Who bought a table last year and has not this year?
  • Which members lapse before the banquet?
  • Who bid on the cabin and lost?

Who it is for

Built for the volunteer chair or the two-person staff.

The people running one big night on top of a day job. You get set up on a call with Brian, not from a help center, and there is a person to reach on the night.

Brian Knopke runs ChampHQ and takes every first call himself.

Fair questions

Before you book the call.

Can we take checks and ACH, not just cards?

Yes. Cards online and at the door, checks recorded by hand, ACH for sponsors and businesses, all against the same event.

Do guests need to download an app?

No. They bid and pay from a link or a QR code in the browser on their phone.

Our last event already ran. Can we bring that list in?

Yes. Import last year’s guests, sponsors and members from a spreadsheet and start next year’s invitations from it.

Who sets it up?

Brian does, with you, on a call. Your event, your tickets and your auction items go in together, and you see the night before it happens.

What does it cost?

It depends on the size of your event and your organization. Book 15 minutes and you will have a number before the call ends.

Who is behind ChampHQ?
